Transforming Document Management: My SharePoint Project for Trinity College Kandy

In today’s digital age, efficient document management is crucial for any institution to ensure seamless collaboration and secure data handling. At Trinity College Kandy, I had the opportunity to lead a transformative initiative to modernize and streamline document management for students and alumni through a comprehensive SharePoint team site.

Creating a Unified Platform

The project began with the development of a parent SharePoint site, complemented by multiple linked sub-sites. This structure was carefully designed to cater to the college’s diverse user groups while ensuring user-specific access and sharing permissions. By implementing these security measures, we created a platform that is both accessible and robust, meeting the unique needs of the college.

Enhancing Organization with Custom Data Policies

To address document retention and organization challenges, I implemented custom data retention policies tailored to Trinity College’s specific requirements. These policies ensure that critical documents are securely retained while unnecessary files are systematically purged, maintaining an efficient and clutter-free system.

Introducing Automation and Collaboration

Automation played a key role in the project’s success. By integrating Office 365 workflows, I empowered users to automate repetitive tasks, significantly improving efficiency. Additionally, features like Checkout were introduced to enable collaborative editing while safeguarding data integrity, ensuring that only one user could make changes at a time, reducing the risk of version conflicts.

One of the most exciting aspects of this project is its readiness to leverage Office 365 PowerApps. This future integration will allow users to scan documents directly using their mobile devices and upload them to designated SharePoint Document Libraries. This feature promises to enhance accessibility and efficiency for both students and staff.
